Solution
One place for every recipe and menu
Before CalcMenu, recipes were scattered across binders and every chef worked from their own version. Now the whole brigade accesses one centralised database, always current and in four languages. No more duplicates, weighing errors or outdated versions.
Why this feature matters
This feature is built directly into the CalcMenu recipe and menu database. The same data serves kitchen, service, and administration—no re-entry, no paper versions.
Before CalcMenu, recipes were scattered across binders and every chef worked from their own version. Now the whole brigade accesses one centralised database, always current and in four languages. No more duplicates, weighing errors or outdated versions.
What it gives you
One database, zero duplicates
Every recipe and menu exists only once: change an ingredient or weight and the update flows instantly to every menu that uses it. Chefs, dietitians and purchasing managers always see the same single source of truth.
Multilingual for the whole brigade
Each recipe is entered once and readable in French, German, Italian and English. A seasonal cook, a foreign trainee or an international chain can work in their own language without any information being lost.
Cycle menus and simplified planning
Build multi-week menu cycles, adapt them by site or dietary requirement, and plan production in a few clicks. Last-minute changes automatically flow through to order lists and recipe sheets.
How it works
1. Import or create your recipes
Enter existing recipes via Excel import or create them directly in CalcMenu. Define ingredients, portion weights, preparation steps and photos for each one. The database is shared across all your sites from the very first entry.
2. Assemble and schedule your menus
Drag your recipes into a weekly or cyclic calendar, assign them to guest groups or specific sites, and adjust quantities to planned headcounts. CalcMenu automatically recalculates costs and nutritional values with every change.
3. Publish and export in one click
Generate recipe sheets, printable menus, allergen cards and order lists in the language of your choice. Front-of-house, kitchen and purchasing teams each receive the right document in the right format, with no manual re-entry.
The recipe as the single source of truth for your entire operation
In a professional kitchen, a recipe is far more than a list of ingredients. It is the foundation of every operational decision: purchasing, production, costing, allergen management, labelling, menus, and ordering. When recipes live in spreadsheets, ring binders, or — worse — in a chef’s head, they become a source of errors that compound at every stage of the process.
CalcMenu puts the recipe at the heart of the platform. Every recipe card standardises not just ingredients and quantities, but also yields, preparation times, portion sizes, variants, and allergens. The result: a single version of the truth, accessible to every team across every site.
Why teams waste time without a recipe management system
Before CalcMenu, most operations manage their recipes in a fragmented way:
- Paper copies are used in the kitchen but cannot be updated in real time.
- Shared spreadsheets quickly multiply into competing versions: “final_v2”, “final_v2_revised”, “current_june”.
- Recipes held in memory disappear when a chef goes on leave or moves to another site.
- Changes are never fully propagated: a supplier switch or a weight adjustment fails to flow through to every menu, specification sheet, and ordering system.
These inefficiencies carry a real cost: over-purchasing, waste, inconsistent portion sizes, allergen non-compliance, and ultimately, an unreliable experience for your customers.
What CalcMenu delivers for recipe management
Complete recipe structure
Every CalcMenu recipe contains:
- a full ingredient list with quantities and working units;
- cleaning, cooking, and portioning yields;
- preparation, cooking, and plating times;
- photos, procedure notes, and a full version history;
- variants by dietary requirement, texture, or portion size;
- allergens and nutritional information calculated automatically.
Centralised, multi-site management
A recipe can be shared across multiple sites while still allowing for local adaptations. Head office publishes the master recipe; each site can adjust portion sizes, local purchase prices, or suppliers without losing alignment with the reference version.
Version history and traceability
Every change is versioned. You always know who changed what, when, and why. This level of traceability is essential for audits, staff training, and HACCP compliance.
Integration with other modules
CalcMenu recipes automatically feed into:
- food cost calculations and margin analysis;
- allergen management and labelling;
- production planning;
- ordering by floor, station, or self-service point;
- menus published in the dining room, on digital screens, or on delivery platforms.
Real-world example: a cafeteria chain standardises its recipes
A chain of 12 cafeterias was managing its recipes across shared folders. The result: the same sandwich weighed anywhere between 180 and 240 grams depending on the site, food costs were unpredictable, and customers regularly complained about inconsistency.
After migrating to CalcMenu:
- all recipes were centralised and validated by head office;
- every site receives updates in real time;
- portion variance was reduced by more than 80%;
- new team members get up to speed faster, thanks to detailed, standardised recipe cards.
When to invest in a recipe management platform
Clear signs that your recipes need a dedicated solution:
- you operate more than three sites or run a menu that changes frequently;
- your food costs fluctuate without a clear explanation;
- audits or inspections raise allergen or traceability concerns;
- chefs are spending time re-entering or cross-checking recipe cards;
- you are preparing for expansion, franchising, or outsourced production.
Getting started with CalcMenu
The first step is to import or re-enter your most critical recipes. CalcMenu offers Excel import tools and connectors to selected recipe databases. Once your recipes are structured, the other modules — costing, allergens, production, ordering — can be activated incrementally, with no need to re-enter data.
