Running 5 kitchens from a single recipe: the multi-site challenge in food service

Consistency across multiple kitchens is one of the most complex challenges in institutional catering and hospitality. Here's how a structured multi-site approach solves it.

When an organisation operates several kitchens, the question that invariably resurfaces is consistency. How do you ensure the vegetable gratin served at the Lausanne school is prepared exactly the same way as at the Geneva school? How do you guarantee that the allergens declared on the menu are the same from one site to the next?

The silent divergence problem

In a multi-site organisation without a centralised system, divergence sets in silently. Each chef adapts the recipe their own way. Spec sheets multiply into versions. Allergens declared on menus no longer match the actual recipes.

This divergence is invisible from the outside until it creates an incident: a guest with an allergy who receives a dish that doesn’t match the displayed declaration, or an audit that discovers three different versions of the “same” recipe.

CalcMenu’s multi-site architecture

CalcMenu organises recipes at two levels:

The reference recipe (central kitchen level): this is the validated version, with its allergens, nutrition values and standard costs. It belongs to the central kitchen or group administrator.

Local adaptations (site level): each kitchen can adjust quantities or substitute ingredients within limits set by the administrator. These adaptations are traceable and don’t modify the reference recipe.

This architecture ensures that the reference recipe’s allergens are always published, even if the local kitchen has adjusted quantities.

Locking standards

For catering chains or hotel groups that want total control, CalcMenu allows recipes to be locked: a site cannot modify a recipe without going through a validation process. Changes are proposed, not imposed.

This system is especially useful for airline catering, school catering and hospital groups, where a recipe deviation can have regulatory or medical consequences.

Real-time multi-site food cost

Once recipes are centralised, CalcMenu calculates in real time the food cost for each site based on its local purchase prices. You immediately see which site has an atypical food cost, and you can identify whether it’s linked to supplier prices, portions or menu composition.

This level of visibility was traditionally hard to achieve without a dedicated management control team.

The right balance between control and autonomy

Multi-site management isn’t about controlling everything or leaving everything to chance. It’s about finding the right balance between group standards and each site’s operational autonomy. CalcMenu lets you define this balance precisely, by recipe level and site type.
